The type of personal information we collect

In order to give professional reflexology treatments, I will need to ask for and keep information about your health. I will only use this to provide safe and appropriate reflexology treatments and related advice. The information to be held is:

  • Your contact details
  • Medical history and other health-related information
  • Treatment details and related notes 

I may contact you by email, phone or text in relation to:

  • Appointment times
  • Reflexology aftercare information or information related to your health 

I will not share your information with anyone else without explaining why it is necessary and obtaining your explicit consent, unless I am legally required to do so, for example by an insurers, regulator, court, legal authorities, or other healthcare professionals.

How we get the personal information and why we hold it

Most of the personal information we process is provided to us directly by you. We use the information that you have given us in order to provide you with the best possible treatment options, support and advice.

Lawful Basis for holding and using Client Information

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information are:

  • Your consent. You are able to withdraw your written consultation consent (inability for further treatments) at any time by contacting The Reflexology Hideaway using the details above.
  • We have a legal obligation: ‘Claims occurring’ insurance: (records to be kept for 7 years after last treatment) and Law regarding children’s records (records to be kept until the child is 25 or if 17 when treated, then 26). Records will be reviewed after the applicable retention period has expired, records will be securely destroyed via shredding or permanently deleted in a way that ensures they cannot be recovered.
  • We have a legitimate interest: I process health data under Article 9(2)(h) of UK GDPR (provision of health care or treatment).
How we store your personal information, protecting your Personal Data

I am committed to ensuring that your personal data is secure. I have put in place appropriate technical and physical security measures to safeguard your personal information. These include password-protected electronic records and securely locked storage for paper records. Access is restricted to authorised persons only.

Your personal data is stored and processed within the United Kingdom. It is not transferred outside the UK.

We use trusted third-party service providers for emails (WebHealer) and cloud storage (OneDrive).

Our website is hosted by WebHealer and may use essential cookies to ensure it functions correctly and securely. These cookies do not require consent. You can control cookies through your browser settings.

In the unlikely event of a personal data breach that may result in a risk to your rights and freedoms, I will notify you and, where required, the Information Commissioner’s Office (ICO) in accordance with UK GDPR requirements.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
